AIDN Officer Eligibility
As detailed in Section 4.3 of the AIDN Bylaws, Officer Eligibility is defined below:
4.3 Eligibility of Officers
No member shall hold office or be appointed as a committee chairperson until he/she has sustained membership for at least six months unless approved by the Board of Directors.
Officers must meet the following qualifications:
● Classification: General Member or Lifetime Member
● Status: Be an Active Member
Office positions are volunteer based with minimal reimbursement directly relating to AIDN activities. No travel or lodging expenses will be covered by AIDN.
Officer Positions and Descriptions
President Emeritus
The President Emeritus shall not hold any additional office concurrently. The President Emeritus shall serve in an advisory capacity for one year to assist the President with the transition of office.
President
The President shall not hold any additional office concurrently. The President shall perform the following duties:

host and facilitate events
-
attend Board meetings to update Board members on the organization’s activities
-
conduct regular Executive Committee meetings
-
present state of organization to members at annual meeting
-
make annual report to Board, Officers, and members
-
approve transactions and contracts below $500
-
serve as President Emeritus after the President-Elect takes office of President
Vice-President
The Vice-President shall perform the following duties:
-
sign vendor contracts in the absence of the President with Board approval
-
host and facilitate events in coordination with the President
-
attend Board meetings
-
oversee member removal and reinstatement
-
assist Membership Coordinator in preparing annual membership report
-
present membership report to Board, Officers, and members
-
conduct meetings or host events for the president in his or her absence
Secretary
The Secretary shall not hold an additional office concurrently. The Secretary shall perform the following duties:

keep track of legal documents related to the organization
-
keep minutes of meetings
-
distribute minutes within two weeks of meetings
-
compile information for Board’s review
-
assist President and Vice-President with projects as needed
Treasurer
The Treasurer shall not hold an additional office concurrently. The Treasurer shall perform the following duties:

create an overall organization budget each membership year
-
oversee financial transactions and budgets
-
-
compile financial statements for review as needed by the Executive Committee and/or the board
-
Coordinate with CPA as needed for filing of tax documents and/or other financial needs
-
-
process membership dues, donations, and events payments
Marketing and Social Media Coordinator
The Marketing Coordinator shall perform the following duties:

manage social media accounts
-
manage organization’s website
-
manage branding guidelines and submit revisions to Board for approval
-
check communications for branding consistency and style
-
produce marketing materials
Events Coordinator
The Events Coordinator shall perform the following duties:
-
select potential locations for organizational events
-
coordinate vendor contracts for specific events
-
suggest activities
-
acquire materials for events
-
collaborate with Treasurer to develop budget for events
-
book event locations
-
book speakers and presenters
-
manage lists of potential vendors and event locations
Due to logistical needs for event planning, this position must be an In-state member.
All contracts related to events must be approved by the Board.
Membership Coordinator
The Membership Coordinator shall perform the following duties:

manage membership records (including email lists) and potential members contact list
-
coordinate with Treasurer to track membership dues
-
notify members of upcoming or past due membership dues or fees
-
notify Board of members who are delinquent on membership dues
-
assist the Vice President with membership report for the Board of Directors
-
distribute organizational and event information to members (once approved by Marketing Coordinator) including
-
general membership information
-
organizational updates
-
notifications of upcoming events
